- Purpose of personal data processing and legal grounds for processing
The objective is to serve the Media by collecting the data requested by the Media in a portal internally used by the Police. The portal will also contain recordings related to the handling of the case, the handling officers and their responses. With the help of the information, the representatives of the stakeholder or the Media will receive responses, compiled by the Police communications or experts, to their questions.
The information is processed to serve the Media. All Media requests addressed to the National Police Board are recorded in the portal.

- Personal data groups processed and other data groups
To provide service to the Media, it is necessary to process the following data in relation to questions made by the journalists:
- title (topic of request)
- first recipient of request
- name of journalist and Media represented
- contact details (email address and/or telephone number)
- question made by the Media (either freely reproduced by recipient or a copy of the question sent by email)
- responsible unit assigned to respond to the request
- deadline if relevant
- expert to respond, and the response.
Once the case has been taken care of and the response to the journalist is given, the title in question is registered as completed.
The journalist data is collected from the person in question. Other items will be filled in by the representatives of the National Police Board in line with the processing in question.
- Statutory or contractual obligation to provide persona data
None.
- Recipients of personal data
The Communications department or an expert of the National Police Department will receive the journalist’s request and record the Media notice in the Media service portal. All experts at the National Police Board are able to see the questions.
The information is uploaded in the Police intranet whereby the information can also be technically processed by the information system provider. The data processors are under the obligation to protect the information in the service. The IT provider is not entitled to forward or distribute the information or use it to purposes other than the provision of Police Communications services in line with the contracts.
- Transfer of data to third countries and information on protections in use
The personal data in the register will not be ceded or transferred outside the European Union or European Economic Area. Should there be a change in this situation, the data subject will be informed.
- Time of storage of data or the respective determination criteria
The information of the data subject can be deleted at the request of the data subject.
- The right of inspection of data subject and its implementation (right of access to data)
Anyone with their personal information stored in the Media service portal has the right to inspect the Media notices. The written and signed request for control access must be sent to

The request of inspection must contain information on the filing system/register in question.
NB. The Media service portal cannot provide another journalist with information on questions made by the first requesting journalist.
- Restrictions of the inspection right (indirect right of inspection)
At the request of the data subject, the Data Protection Ombudsman can inspect the legality of the information of the data subject.
- Rectification of information and respective means (right to rectification and erasure of information)
The data subject has the right to demand that the controller rectify the erroneous information related to the data subject. In necessary, further advice is available at the Communications of the National Police Board during office hours.

The Privacy Policies are stored in a manner providing the data subjects with easy access to them. The national Privacy Policies are kept publicly accessible in an electronic format in the national Police information network (poliisi.fi) and in the Police internal network (intranet).
The Privacy Policies are stored in the Police administrative case processing system (ACTA) for case management, decision-making and filing.
