Filing systems used for communications
This is where you find privacy statements relating to the information systems that the police uses for communication purposes.
The police’s most important target audiences are the media and others with an interest in the police. We have a number of information systems that we use to reach these audiences, the privacy policies associated with which are briefly outlined below. Links to the official privacy statements are also provided.

In order to be able to provide the service, the police needs to process the following information:
Personal data
- First name*
- Last name*
- Country (of operations)*
Contact details
- Email address*
- Telephone number (for providing assistance during any login problems)
News media service
- Represented news media service*
- Job title*
- Other clarification, e.g. references to articles for freelancers
- Information on whether other representatives of the same media service can register the data subject for events
- Information on whether the data subject requests invitations to press conferences

Privacy statement Distribution of Poliisi.fi releases to the media
The police’s media services portal is designed to provide a more efficient service to the media by coordinating the media’s enquiries through an internal portal. The way in which enquiries are dealt with and by whom, as well as the response, are also recorded in the portal. The information is used to compile a response to enquiries made by representatives of stakeholders or the media from the police’s Communications team or other experts. The information is only processed in order to serve the media. All media enquiries addressed to the National Police Board are entered into the portal.
In order to respond to journalists’ questions, the police needs to process the following information:
- Heading (subject of the enquiry)
- Original recipient of the enquiry
- Name of the journalist and the media they represent
- Contact information (email address and/or telephone number)
- Content of the enquiry (either in the recipient’s own words or a copy of the journalist’s email)
- Unit charged with answering the enquiry
- Deadline, where applicable
- Identity of the expert giving the answer and their answer
- Status – ‘completed’ once the matter has been dealt with and an answer sent to the journalist
Journalists’ information is collected from the journalists themselves. The rest of the information is filled in by representatives of the National Police Board.
